Here are the best practices for an optimal experience using QuickBooks Web Connector for your third-party applications.
Run QuickBooks Web Connector in Single User Mode
When multiple QuickBooks users are accessing the Company File simultaneously it can cause errors due to the network being slow. You may receive a time-out error if the data is not flowing fast enough or it could crash the connection for all users.
Close any open windows in QuickBooks Desktop
Any windows open inside of QuickBooks Desktop will prevent the Web Connector from running correctly. This is designed intentionally to prevent disruption to the Company File. Close all windows, including invoices, reports, pop-ups, and confirmations.
- While a dialog box is open, you will not be able to take other actions in QuickBooks Desktop so if you are unable to navigate between screens you likely have a dialog box open.
- You may also hear the "error sound" that your computer makes. By default, Windows 10 users will hear this sound and Windows 11 users will hear this sound (called the "error/beep sound").
Export data from one entity at a time
If you have multiple third-party applications that access the same Company File, it is recommended that you sync them one at a time. If you are attempting to sync timesheets and invoices, it will often cause an error or crash the connection for all users.
Have a steady internet connection
If your internet connection is unsteady or disconnected, you will receive an error from Web Connector. Intuit has determined the minimum data speed and if that speed is not consistently maintained, it will disconnect and display an error message.
If your business uses ethernet connections, you may need to contact your IT support team for assistance with assessing speed. If your computer uses wifi access, first check the status of your connection using the available tools in the Windows Toolbar. If you find that your internet connection is not performing as expected, you can begin troubleshooting the issue locally.
Do not use Auto-Run
If you have multiple Company Files or multiple third-party applications that access the same Company File it is recommended that you do not enable Auto-Run. The auto-run feature works on a timed basis and may cause unintentional collisions when it tries to run. This may cause Web Connector to freeze, perform slowly, or disconnect entirely.
